Four things to decide
before you buy
Most buyers get these in the wrong order. Sort them out upfront and the rest — budget, hardware, timeline — falls into place.

Map your rooms first
Count the rooms, measure each one, and note the type — huddle (2–4 pax), standard meeting room (4–8 pax), boardroom (8+). Different room sizes need completely different systems. A one-size-fits-all kit wastes budget and usually sounds terrible in at least one room.

Lock in your video platform
Are you running Microsoft Teams, Zoom, or Google Meet? Decide before touching hardware. Platform-certified devices are easier to manage, update automatically, and perform better on calls. Switching platforms after installation means replacing equipment.

Budget for the full project
Hardware is only part of the cost. Add cabling, professional installation (typically 15–25% of hardware), and an annual support contract. Cheap hardware with a poor installation is money wasted twice — the system underperforms from day one.

Ask who supports it after day one
A system that fails during a board meeting is a serious problem. Ask your integrator: what is the response time? Is remote troubleshooting included? How long is the warranty? The cheapest quote rarely includes the best answer to these questions.
